Overview
SpaKinect is a telehealth platform that provides virtual medical assessments for aesthetic treatments, ensuring compliance with medical board standards for medical spas. The Decoda platform integrates seamlessly with SpaKinect to enable Good Faith Exam (GFE) requests directly from patient appointments.What is a Good Faith Exam?

Prerequisites
- Request SpaKinect module enablement from Decoda support
- You must have a SpaKinect account with location IDs
When you request SpaKinect module enablement, Decoda will:
- Enable the SpaKinect module for your tenant
- Set up the “Request GFE” checklist items on your services
Step 1: Request Module Enablement
To get started with SpaKinect integration:- Contact Decoda support at founders@decodahealth.com
- Request SpaKinect module enablement
- Provide your SpaKinect account information and location IDs
- Decoda will enable the module and configure checklist items for your services
Step 2: Configure Location
To enable SpaKinect for a location:- Navigate to Settings → Locations
- Click on the location you want to configure (or create a new one)
- In the location edit form, find the SpaKinect Location ID field
- Enter your SpaKinect location ID (e.g.,
jkA6SQCtwZhRNpOFj0ZN) - Click Save
The system automatically subscribes your location to SpaKinect when you save a
location with a SpaKinect Location ID. You’ll see a green “SpaKinect Enabled”
badge on locations that are configured.
Using SpaKinect
Requesting a Good Faith Exam
GFE requests can be made from two places:From Appointment Checklist
- Open a patient’s appointment
- Expand the Checklist section
- Find the Request GFE checklist item
- Click Request New GFE
- Fill in the required information:
- Location: Select a location with SpaKinect configured
- Treatments: Select one or more treatments (e.g., “Botox Injection”, “Dermal Filler”)
- Appointment Date & Time: Choose when the GFE should be scheduled
- Patient Email & Phone: Pre-filled from patient record, can be overridden
- Click Submit
From Appointments Tab
- Navigate to the patient’s Appointments tab
- Click Request GFE button
- Follow the same steps as above
Viewing GFE Status
Once a GFE is requested, you can track its status:- In Checklist: Recent GFEs appear in the appointment checklist with status badges
- In Appointments Tab: All patient GFEs are listed with their current status
- Status Types:
- 🟡 Processing / Pending Review: GFE is being reviewed
- 🟢 Approved / Completed: GFE is approved and ready
- 🔴 Rejected: GFE was not approved
- ⚪ Cancelled: GFE was cancelled
Patient Experience
When you request a GFE:- An appointment is created in SpaKinect
- The patient receives notifications via email and SMS
- The patient completes the virtual exam through SpaKinect’s platform
- Status updates automatically sync back to Decoda
Features
Automatic Location Subscription
When you add or update a SpaKinect Location ID on a location, the system automatically subscribes that location to SpaKinect. This ensures seamless integration without manual API calls.Treatment Selection
The system fetches available treatments directly from SpaKinect’s API, ensuring you always have the latest treatment options available.Status Synchronization
GFE statuses are automatically synchronized from SpaKinect, so you always see the current status in Decoda without manual refresh.Patient Record Integration
GFE requests are linked to patient records, making it easy to track a patient’s exam history across all appointments.Troubleshooting
No Locations Available
If you don’t see any locations when requesting a GFE:- Ensure the SpaKinect module has been enabled by Decoda support
- Verify that at least one location has a SpaKinect Location ID configured
- Check that the location ID is correct and active in your SpaKinect account
- Contact Decoda support if the module appears enabled but locations aren’t showing
Patient Contact Information Missing
GFE requests require patient email and phone number:- Ensure the patient record has valid email and phone number
- You can override these values when requesting a GFE if needed
GFE Status Not Updating
If GFE statuses aren’t updating:- Statuses are fetched from SpaKinect when viewing GFEs
- Refresh the page or navigate away and back to see latest status
- Contact support if statuses remain stale
Best Practices
- Configure Locations After Enablement: Set up SpaKinect Location IDs for all locations after Decoda enables the module
- Verify Patient Information: Ensure patient email and phone are accurate before requesting GFEs
- Schedule Appropriately: Request GFEs with enough lead time for patients to complete the exam before their treatment appointment
- Monitor Status: Regularly check GFE statuses to ensure patients complete their exams on time
- Use Consistent Locations: Use the same SpaKinect location ID for locations that share the same SpaKinect account
