Payments

The Payments page displays all payment transactions with filtering, sorting, and management capabilities. View payment details, process refunds, send receipts, move payments between patients, and create one-time payments.

View Payments

Navigate to Payments

Go to BillingPayments

Review payments table

Each row shows amount (in green), patient, payment method, medium, and date

Filter payments

Use date range, status, payment medium, patient, or merchant account filters

Create One-Time Payment

Record a payment not tied to a specific charge.

Click One Time Payment

Button in header area

Fill details

Select patient, enter amount, choose payment medium

Submit

Payment recorded and appears in table

View Payment Timeline

Click the expand arrow (▼) on a payment row to see:
  • Payment creation details
  • Related charge information
  • Refund history (if any)

Open actions menu

Click the three dots (⋮) on payment row

Select Refund Payment

Refund modal opens

Configure refund

Full or partial amount with reason

Process

Funds returned, payment shows “Refunded” badge

View/Send Receipt

Open actions menu

Select Receipt Details

View receipt

See amount, date, method, and items paid

Send receipt

Enter email or phone, click Send

Move Payment

Move to Another Patient

Transfer payment to a different patient. Search and select destination patient.

Move to Location

Change payment’s location assignment. Select new location from list.

Generate Detailed Receipt

For payments with linked charges, select Generate Detailed Receipt to open a comprehensive printable receipt in a new tab.

Payment Status Badges

Export Payments

Click Export Payments to download filtered payment data as CSV or Excel.
Click View Deposits in the header to navigate to deposit/credit transactions.
