E-Prescribing Guide

Decoda integrates with DoseSpot to give providers the ability to electronically prescribe medications directly from the platform. When a provider opens e-prescribing, they’re seamlessly signed into DoseSpot — no separate login required.
All prescribing workflows — searching for medications, selecting pharmacies, managing refills, and Electronic Prescribing for Controlled Substances (EPCS) — happen inside DoseSpot. This guide covers the Decoda side: getting access, setting permissions, and using the integration day-to-day.

Getting Access

To get started with e-prescribing:
  1. Contact Decoda support at support@decodahealth.com
  2. Request e-prescribing module enablement
  3. Decoda will enable the module, set up your locations, and add your providers
Once everything is configured, providers with e-prescribing access can launch DoseSpot from several places in Decoda (covered below) and will see the e-prescribing banner at the top of the notifications panel.

Where to launch e-prescribing

There are several places in Decoda that open DoseSpot. Which one you use depends on what you’re trying to do.

From the notifications panel

Open the notifications panel from the top bar. At the top of the panel you’ll see an e-prescribing banner showing the count of pending items (transmission errors, refill requests, change requests). Click the banner to open DoseSpot. When there are no pending items, the banner reads Open e-prescribing and opens the DoseSpot dashboard without a patient loaded — useful for working through your queue or checking a prior prescription.
The banner only appears for providers whose DoseSpot account has been confirmed. If a provider can’t see it, see Notification Banner Not Showing below.

From a patient chart (most common)

Open the patient and stay on the Overview tab. Scroll to the Medications section. From here:
  1. Click Add Dose at the top right of the medication table.
  2. A small menu appears with two options: Add Dose (record a dose manually in Decoda) and E-prescribe (open DoseSpot for this patient).
  3. Click E-prescribe.
DoseSpot opens in a new tab with the patient’s chart already loaded.
Add Dose is the visible button — there is no standalone “E-prescribe” button on the chart. The E-prescribe option lives inside the Add Dose menu.
The same Add Dose → E-prescribe menu appears anywhere doses can be added, including:
  • Care plan checklist items in the right-hand sidebar
  • Medication questions inside scribe notes
  • Weight-loss program dose tables

Reopening an existing prescription

If a medication was already sent through DoseSpot, you can jump back into it without going through Add Dose:
  1. In the Medications section, find the row for the prescription. It will be marked with a DoseSpot badge.
  2. Click the three-dot menu on the right.
  3. Choose Open in E-prescribing.

Syncing patient demographics manually

Above the medications table on the Overview tab, there’s a Sync to E-Prescribe button. This button does not open DoseSpot. It pushes the patient’s current name, date of birth, address, phone, and height/weight to DoseSpot so the records stay in sync. Decoda also runs this sync automatically the first time you E-prescribe for a patient and on subsequent launches, so most clinics never need to press it. Use it if a patient’s demographics changed and you want to update DoseSpot before opening it.

Picking a location

If your tenant has more than one location with DoseSpot configured, Decoda will show a Select Location for E-prescribing dialog the first time you launch from a given action. Decoda pre-selects the best guess (your current location, or the patient’s primary location). Confirm the choice and click E-prescribe. If only one location is configured, the dialog is skipped.

Patient Requirements

For the patient sync to succeed, the patient record in Decoda must have:
  • First name and last name
  • Date of birth
  • Phone number
  • Full address (street, city, state, zip code)
If any of these are missing, you’ll see an error when trying to open e-prescribing. Update the patient’s profile and try again.

Prescription Tracking

When prescriptions are sent through DoseSpot, Decoda automatically creates dose records on the patient’s chart. These records update as the pharmacy processes the prescription:
  • Sent — Prescription transmitted to the pharmacy
  • Filled or Partially Filled — Pharmacy has dispensed the medication
  • Completed — Prescription fully dispensed
  • Cancelled or Discontinued — Prescription no longer active
Doses linked to DoseSpot are marked with a DoseSpot badge in the patient’s medication history, so you can distinguish e-prescribed medications from manually recorded ones.

Troubleshooting

”Clinician not confirmed” Error

This means the provider’s account hasn’t been fully confirmed yet. Contact Decoda support at support@decodahealth.com to get your clinician confirmed. This is a one-time step.

Patient Sync Fails

The patient record is missing required information. Check that the patient has:
  • First and last name
  • Date of birth
  • Phone number
  • Complete address (street, city, state, zip code)
Update the missing fields and try again.

E-prescribe Button Not Showing

Check the following:
  1. Module is enabled — The e-prescribing module must be active for your tenant. Contact Decoda support if you’re unsure.
  2. Provider is set up — The provider must be configured for e-prescribing by Decoda. Contact support if a provider who should have access doesn’t.

Notification Banner Not Showing

The e-prescribing banner in the notifications panel only appears when the signed-in provider has a DoseSpot user ID linked to their Decoda account. If you don’t see it:
  1. Confirm e-prescribing is enabled for your tenant.
  2. Confirm the provider has been set up by Decoda support and has completed their DoseSpot clinician confirmation and Duo two-factor enrollment.
  3. If the provider can launch DoseSpot from a patient chart but the banner is still missing, contact Decoda support — their account may need to be linked.

Duo Two-Factor Authentication Enrollment Failing

If a provider is unable to enroll in Duo two-factor authentication within DoseSpot, they may have a pre-existing DoseSpot account from a previous clinic or platform. This blocks the enrollment process. Contact Decoda support at support@decodahealth.com so we can merge the accounts and resolve the issue.

Notification Counts Not Updating

Notification counts are pushed from DoseSpot automatically. If counts seem stale:
  1. Refresh the page
  2. Check DoseSpot directly to verify the current count
  3. Contact Decoda support if the issue persists

What Happens Inside DoseSpot

Once DoseSpot opens, the following all happen within DoseSpot’s interface:
  • Searching for and selecting medications
  • Choosing pharmacies
  • EPCS (Electronic Prescribing for Controlled Substances) enrollment
  • Managing refills and renewals
  • Drug interaction warnings
