What You See
At the top of the page, summary cards show totals for the selected date range:- Total Commissions — commissions owed on sales included by your filters.
- Total Tips — the combined tips collected (visible if Payments is enabled).
- Total Hours — the combined hours worked (visible if Clock In is enabled).
- Total Pay — the grand total of the visible pay columns.
Utilization
Between the summary cards and the table, the Utilization panel shows how much of your staff’s scheduled shift time was actually booked with patients in the date range, as a percentage with the booked and scheduled hours beside it. Shift time is adjusted for how many patients a provider can see at once, and business closures such as training are left out. Cancelled appointments and cancelled shifts don’t count. Click the info icon next to the heading for the same explanation on screen. When you’re looking at more than one person, the headline covers all staff. Click the Show all … staff members line beneath it for a per-person breakdown, and Hide the breakdown by staff member to close it again. Providers who open Staff Pay themselves see only their own figure, so they can check their own utilization without seeing anyone else’s. If nobody had a scheduled shift in the date range, the panel says so instead of showing 0%.Select a Date Range
The date picker at the top defaults to the current month (from the 1st through today). To change it:- Click the date range field.
- Choose a start and end date.
- The table and summary cards update automatically.
Filter Commissions
Use the filters at the top of Staff Pay to narrow which commissions appear. Tips and hourly pay are not affected.- Commission Structure lets you review one or more commission structures instead of all commissions. Archived structures remain available for reviewing paid commission history and are labeled Archived in the list. They cannot be used to settle unpaid commissions.
- Item Types lets you include only selected item types, such as products, services, packages, memberships, medications, service fees, or gift cards. Leaving the filter empty includes every item type, including older commission rows that may not have a known item type.
- Payout Status lets you show only Paid or Unpaid commissions. Commission totals, provider totals, and exports update to match. Leaving the filter empty shows both statuses.
Show or Hide Columns
If your clinic has more than one pay type enabled (Commissions, Tips, Hourly Pay), a Columns button appears next to the date picker. Click it to show or hide individual columns. Hidden columns are excluded from the summary cards, table totals, and exports.Table Columns
The columns that appear depend on which features are enabled for your clinic and which columns you have visible:View Provider Details
Click any provider row to expand it and see a line-by-line breakdown:- Commission details show the patient name, commission rate, the item sold, the charge total, and the date, along with a Paid or Unpaid label for each commission. Click the patient name to go to their profile. Click the rate to go to the commission rule settings. Click the item name to go to the charge. Items excluded from commission don’t appear here.
- Tip details show who left the tip and the date. Click the date to go to the charge.
- Hourly pay details show hours worked on each day, the hourly rate, and the pay for that day. Click the date to go to clock-in history.
Mark Commissions as Paid
Each commission starts out as Unpaid. Once you’ve paid a provider through payroll, you can mark their commissions as paid so the page reflects what you’ve already settled. This applies to commissions only — tips and hourly pay don’t have a paid or unpaid status. You need the View All Staff Pay permission to do this. To mark one provider’s commissions as paid:- Set the date range to the pay period you’re settling.
- Use Commission Structure or Item Types if you only want to settle part of the provider’s commissions.
- Find the provider’s row. The actions button appears when they have unpaid commissions in the date range and filter scope.
- Choose Mark commissions as paid.
- Review the number of commissions and total, then confirm.
- Select the providers using the checkboxes in the table.
- Choose Mark Commissions Paid in the action bar.
- Confirm. Only providers with unpaid commissions in the selected date range and commission filter scope are included.
The Basis setting at the top of the page (Cash or Accrual) decides which unpaid commissions are counted, so set it to the basis your clinic uses for payroll before you mark anything paid. A commission rule that has its own basis set in Settings > Staff > Commissions always uses that one instead. Once a commission is marked paid it stays marked no matter which basis you’re viewing — paid history isn’t split between the two.
Export a Report
There are two ways to export:Full Report
- Click the Export Report button in the top-right corner.
- Choose which columns to include and your preferred file format.
- The exported file includes both the provider summary rows and the line-by-line details. When commissions are included, each commission line also carries its payout status and the date it was marked paid.

Per-Provider Export
- Select one or more providers using the checkboxes in the table.
- Click Export Selected in the action bar that appears at the bottom.
- If you selected one provider, a single CSV file downloads. If you selected multiple providers, a ZIP file downloads containing one CSV per provider.
View as a Specific Provider
Admins with the View All Staff Pay permission can preview the page as a specific staff member — the same data scope and layout that person sees when they open Staff Pay themselves. Pick a provider from the View as menu at the top of the page. The menu lists only staff with pay data in the period and filters you’re looking at, so it stays short as your team grows. While View as is on, the summary and table are scoped to just that provider (their single row expands to details automatically), so you can quickly answer “what does Alex see when they open this?” without switching accounts. Clear the menu to go back to your normal all-providers view.Permissions
- Users with the View All Staff Pay permission can see every provider’s pay data, mark commissions as paid, and use View as to preview a specific staff member’s view.
- Users without that permission only see their own earnings.
