Prerequisite: The Marketing module must be enabled for your clinic. If you don’t see Pipelines under Growth, ask your administrator to turn it on.
Pipelines Page
The page lists every pipeline in your clinic. For each one you’ll see:- The pipeline’s name and optional description.
- A visual chain of its stages, with a colored dot per stage and a checkmark on the “won” stage.
- A list of campaigns that send their leads into this pipeline.
Create a New Pipeline

Open the New Pipeline Form
Click New Pipeline in the top right corner of the Pipelines page.

Enter Basic Information
Give the pipeline a Name (required) and optional Description so your team knows what it’s for.

Add Stages
Click Add Stage for each step a lead should move through. For every stage:
- Pick a color (used on the kanban board and in reports).
- Type the stage name (e.g., “New”, “Contacted”, “Consultation Booked”).
- Mark Won on the stage that means the lead converted.
- Mark Lost on the stage that means the lead didn’t work out.

Add Stage Automations (Optional)
Click Add automations on any stage to build its follow-up sequence right here, before the pipeline exists. The same editor described in Stage Sequences opens in a side panel. Once a stage has one, the button reads Edit automations. The automations save with the pipeline.

Link Campaigns
Tick any campaigns that should feed opportunities into this pipeline. New opportunities from a linked campaign start in the pipeline’s first active stage.

Save
Click Create Pipeline. The pipeline is now available in the Kanban view under Growth > Opportunities.
Edit a Pipeline
From the Pipelines page, click Edit on any active pipeline. The same form opens with the existing values. You can rename it, add or remove stages, change colors, and adjust campaign attachments. Click Save Pipeline when done.Stage Sequences
Each stage can have one sequence. Use it for immediate follow-up, several actions, fixed waits, or two different paths. On an existing pipeline, click Sequence + on a stage, then click Add Sequence. While you’re creating a pipeline, use Add automations on the stage instead.1
Name the sequence
Enter a name and optional description. New sequences stop when the lead leaves the stage.

Add and configure steps
Click Add Step and choose an action. Select an SMS or email step to write the message, apply a saved template, or type
@ to add patient details. Add a Wait step when the next action should happen later.3
Add a decision when needed
Add a decision after an email, with only fixed waits in between. Choose whether the path checks for delivery, opening, a clicked link, or a reply. Every decision has an If path and an Otherwise path.

Activate and save
Turn on Active when the sequence is ready, then click Save Sequence. New leads entering the stage can now start it.
Available Sequence Steps
You cannot change or remove a sequence while it has active runs. Wait for those runs to finish. If the sequence stops when a lead leaves the stage, moving every active lead out of that stage also ends those runs.
Linking Campaigns
The Campaigns section of the pipeline editor lists every campaign in your clinic. Tick a campaign to attach it to this pipeline. Untick it to detach. New opportunities from an attached campaign always start in the pipeline’s first active stage.Archive and Restore
If a pipeline is no longer in use, click the archive icon on its row. The pipeline disappears from the active list but is preserved along with its leads and historical data. To bring it back:- Click the Archived (n) button at the top of the page to show archived pipelines.
- Click Restore on the pipeline you want to bring back.

Won and Lost Stages
Every pipeline should have at least one stage marked Won (a successful conversion) and one marked Lost (a lead that didn’t convert). These flags drive funnel reporting on the Growth > Dashboard and determine when leads are eligible to be converted into patient records.

Access follows your clinic’s Growth permissions. Ask an administrator if Settings > Growth > Pipelines is not available.

The pipeline editor only configures stages and sequences. To move opportunities between stages, open Growth > Opportunities, select the Kanban view, and drag a card from one column to another. See Growth & Lead Tracking for the full workflow.
