You can email a patient a document from their chart, or a completed form they filled out, straight from the Forms & Documents tab. Either action opens the email window with the patient’s email address already filled in and the file attached, so you just add a subject and message and send.
Who can do this: Staff with permission to send emails and to export data. If you don’t see the option, ask an administrator about the Send emails and Export data permissions. The patient must also have an email address on file.
Sending must be turned on: Your clinic needs a verified email sending address before the Send button is active. An administrator can set this up under Settings > Emails.

Email a Document

  1. Open the patient’s chart and go to the Forms & Documents tab.
  2. In the Documents list, find the document and open its menu.
  3. Choose Send to Patient.
  4. The email window opens with the patient’s address filled in and the document attached. Add a subject and a message, then click Send.

Email a Completed Form

  1. Open the patient’s chart and go to the Forms & Documents tab.
  2. In the Forms list, find the completed submission you want to send.
  3. Click the mail button on that row.
  4. A PDF of the submission is prepared automatically. When it’s ready, the email window opens with the patient’s address filled in and the PDF attached. Add a subject and a message, then click Send.
The mail button appears only for completed submissions. To send a submission a different way, you can still open it and use Export to PDF to download a copy.

Before You Send

  • Double-check the recipient — you can add Cc or Bcc addresses in the email window.
  • The attachment is added for you; you don’t need to upload anything.
  • If a document can’t be attached, you’ll see a message and can attach a file manually before sending.
