Create an AI Scribe Note
AI Scribe records audio during a patient encounter, transcribes it, and uses AI to generate a structured clinical note based on your selected template.Start a New AI Note
From the Notes page, click New Note and select AI Note. Alternatively, open a patient chart and start an AI note from within the Medical Notes tab. Select the patient if not already chosen.
Allow Microphone Access and Select a Device
When prompted, grant your browser permission to use the microphone. If permission was previously denied, a warning banner will appear with instructions to re-enable it in your browser settings.After granting permission, select a microphone device from the device selector. An input level meter shows your current volume so you can confirm the microphone is working before recording. You can also change the microphone device from the Recording PiP (see below) at any time during a recording.
Record the Encounter
Click the play button to begin recording. Speak naturally during the appointment — the system captures and transcribes audio in real time. You can:
- Pause the recording and resume later.
- Switch to a different note mid-recording; the recording continues in the background via the Recording PiP.
- View the live transcript in the Transcript tab.
Select a Template
Before generating, select a note template. You can choose a template ahead of time from the Note Template selector on the note page, or you will be prompted to select one when you click Generate AI Note. Favorite templates appear at the top of the list for quick access.Use the Note Template tab to preview the selected template’s questions and structure before generating. This tab shows each question name, description, type, and whether it is required.
Generate the Note
Click the Generate AI Note button. The system finalizes the transcription and sends it to the AI model, which fills in each template question based on the conversation. This may take a moment — you can navigate away and return later.
Review and Edit
Once generated, the Clinician’s Note tab displays structured answers organized by the template’s questions. (This tab is named “Clinician’s Note” specifically for AI-generated notes; manual notes use “Doctor’s Note” instead.) Review each field and make corrections as needed. The AI-generated content is a starting point — always verify clinical accuracy before finalizing.
Recording PiP (Picture-in-Picture)
When a recording is active, a floating mini-player appears on screen showing the recording status. This mini-player is draggable, so you can reposition it anywhere on the page. It includes:- Timer — Shows elapsed recording time.
- Audio visualizer — Displays live audio input levels.
- Pause / Resume — Pause and resume the recording without stopping it.
- Stop — End the recording session.
- Microphone selector — Switch microphone devices during the recording.
- Generate Note — Jump to note generation directly from the mini-player.
- Go to note — Navigate back to the recording note if you are on a different page.
Chat with AI to Refine a Note
After an AI note is generated, use the chat input at the bottom of the note to ask the AI to make changes. For example:- “Add a note about the patient’s allergy to penicillin”
- “Change the dosage to 20mg twice daily”
- “Expand the assessment section”
Regenerate with a Different Template
If you need to restructure an AI note using a different template:- Open the note and click the actions menu (three-dot icon) in the note toolbar.
- Select Change Template.
- Choose a new template from the list.
- The AI regenerates the note from the original transcript using the new template structure, creating a new revision.
Regenerating a note with a different template creates a new revision. Any manual edits on the current version will not carry over — the new version is generated fresh from the original transcript.
