Decoda uses role-based access control to manage what each staff member can see and do. Every user is assigned a role, and each role has a set of permissions drawn from the modules listed below. Admins automatically have all permissions. When you change a role’s permissions, the update applies immediately to every user with that role. Finding a permission

The permissions tab for a role can be long. Use the search box at the top of the tab to narrow it down — type any part of a permission’s name or its description (for example, “invoice”) and the list shows only the matching permissions. Groups with nothing that matches are hidden while you search. Clear the box to bring the full list back. While a search is active you can still switch individual permissions on and off. The group-level and “All Permissions” switches turn back on once you clear the search, so they always apply to the full list rather than to a filtered subset.

Appointment Checklist

Control who can complete each appointment checklist step from the Patient Status panel and patient sidebar. Without the matching permission, a staff member can see a step but can’t mark it done.

Clock In

Manage clock in/clock out and time tracking.

Downloads

Control ability to download and export files.

Clinical

Access clinical documentation, gallery, and e-prescribing.

Commissions

Manage commission structures, reports, and provider payouts.

Forms

Access form submissions and management. Staff with View Form Submissions can still open submitted forms and use form filters, even if they cannot view or manage form templates.

Inventory

Manage inventory and adjustments. Staff with View Inventory but not Manage Inventory can open the inventory screens and see stock, suppliers, shipments, and purchase orders, but the actions that change them — add, edit, archive, transfer, drawdown, and the like — stay hidden.

Manage SMS, calls, emails, and patient communications.

Medications

Manage medication dose records. Creating, editing, and deleting doses are now separate permissions, so you can let a staff member add doses without also letting them change or remove existing ones.
