Navigate to: Settings > Bookables
Bookable resources represent physical things in your clinic — rooms, equipment, machines — that need to be reserved when an appointment is scheduled. By linking bookable resources to Services, Decoda automatically prevents two appointments from using the same room or machine at the same time. See also: Bookable Resource in the Glossary.

The Bookables Table

The Bookables page shows all of your resources in a table with the following columns:

If you haven’t created any bookable resources yet, the table displays “No bookables found.”

Filter and Page Through the Table

Above the table, use the filter bar to narrow down the list:
  • Name — text search by bookable name.
  • Location — pick one or more locations.
  • Capacity — pick one or more capacity values.
  • Service — pick one or more services that use the bookable.
The table is paginated — use the controls below the table to move between pages.

Create a Bookable Resource

Open the Creation Form

Click Create Bookable in the top-right corner of the page. A small form appears.

Enter a Name

Type a name for the resource (for example, “Treatment Room A” or “Laser Machine”). This field is required.

Add a Description (Optional)

Enter a short description to help your team identify the resource. This is a multi-line text field.

Set Capacity

Enter the maximum number of appointments that can use this resource at the same time. The default is 1, which means only one appointment can use the resource per time slot. Increase this if the resource can be shared (for example, a waiting room that fits multiple patients).

Choose Locations

Select one or more locations where this resource is available. The form shows how many locations you’ve selected out of the total.

Save

Click Create. The new resource appears in the table immediately.

Edit a Bookable Resource

You can edit a bookable resource’s name, description, or locations directly from the table — no separate page needed.

Edit the Name or Description

  1. Click the name or description cell in the table row you want to change.
  2. A small editor appears with the current value. Type your changes.
  3. Press Enter or click Save to confirm. Press Escape or click Cancel to discard changes.

Edit Capacity

  1. Click the Capacity cell in the table row you want to change.
  2. A small popup appears with a number input. Use the arrows or type a new value (minimum 1).
  3. Press Enter or click Save to confirm. Press Escape or click Cancel to discard changes.

Mark a Bookable Out of Order

If a room or piece of equipment is temporarily unavailable (for example, a machine sent for repair), mark it out of order so the system stops reserving it for new appointments.
  • Capacity of 1: Click the Status cell on the bookable’s row. It toggles between In service and Out of order. To bring it back online, click the cell again.
  • Capacity greater than 1: Click the Status cell to open a small popup, then enter how many of the units are out of order. Set it back to 0 when all units are available again.
When a bookable is fully out of order, services linked to it can’t be booked until it’s returned to service. A bookable that’s partially out of order still allows bookings up to its remaining available capacity.

Edit Assigned Locations

  1. Click the Locations cell for the resource you want to update.
  2. A popup shows the currently assigned locations. Click the X next to any location to remove it.
  3. To add a location, click Add location and select from the available options.
  4. Changes save automatically as you add or remove locations.

Delete a Bookable Resource

  1. Click the red trash button in the last column of the resource’s row.
  2. A confirmation prompt asks if you’re sure. Click Confirm to delete, or cancel to keep the resource.
Deleting a bookable resource cannot be undone. Any services that reference the deleted resource will no longer reserve it during scheduling. Bookable resources become most useful when they’re linked to services. When a bookable is assigned to a service, the system checks whether that resource is already in use before allowing an appointment to be booked at the same time. To link a bookable resource to a service:
  1. Go to Settings > Services and open the service you want to edit.
  2. In the Scheduling & Booking section, use the timeline editor to assign one or more bookable resources to the service.
  3. Save the service.
When you open the bookable selector in the timeline editor, you’ll see each option’s location and capacity. Tick the checkboxes for everything you want to add, then click Add N bookables at the bottom to add them in one go. Once linked, any appointment for that service automatically reserves the bookable resource for the appointment’s duration, preventing conflicts. For more details, see Services.
